Email Policy

1. INTRODUCTION

This Email Policy outlines the guidelines and procedures for sending emails through MemberOS’s email feature on behalf of clients. It aims to ensure compliance with legal regulations, uphold industry standards, and maintain the reputation of both our company and our clients.

2. AUTHORIZED USE

The email feature provided by MemberOS is available for clients to send emails for marketing and other business-related purposes.

Only clients with authorized access are permitted to utilize the email feature.

3. COMPLIANCE REQUIREMENTS

All emails sent on behalf of clients must comply with applicable laws and regulations, including the CAN-SPAM Act and GDPR (if applicable).

Emails must be sent to recipients who have opted in to receive communications or have a pre-existing business relationship with the client.

Proof of list source and opt-ins must be documented and provided upon request.

Every email sent on behalf of a client must include a visible and operable unsubscribe mechanism, allowing recipients to opt-out from future communications.

4. DEFINITION OF SPAM

Spam is unsolicited bulk email sent to recipients who have not given explicit consent to receive such communications. Spam emails often include misleading subject lines, false sender information, and lack a valid unsubscribe mechanism.

5. PROHIBITED PRACTICES

The following practices are strictly prohibited when using the email feature on behalf of clients:

  • Sending emails to purchased, rented or harvested email lists.
  • Using misleading or deceptive subject lines or sender information.
  • Failing to provide a clear and functional unsubscribe option.
  • Sending emails containing malicious content, viruses or phishing attempts.
  • Overloading recipients with excessive or irrelevant emails.

6. PRIVILEDGE REVOCATION

Violation of this Email Policy may result in the suspension or termination of access to the email feature for the client, as well as other appropriate actions determined by MemberOS.

7. REPORTING VIOLATIONS

Any suspected violations of this policy should be reported to the designated compliance officer or support team of MemberOS for investigation and resolution.

8. POLICY REVIEW

This Email Policy will be reviewed periodically to ensure its effectiveness and compliance with evolving regulations and industry standards.

MemberOS reserves the right to amend this policy at any time without prior notice.
